How Delta Joinery Ltd handles your information when you make an enquiry and when we prepare and send you a document (quote, estimate or invoice). Last updated: June 2026.

Who we are

Delta Joinery Ltd (registered in Scotland, company number SC806128) is the data controller for the information described here. Our address is 27 Station Road, Uphall, West Lothian, EH52 5DX. You can contact us about your information by email at andy@deltajoinery.com or by phone on 01506 300 402.

What we collect

• When you enquire (through our website form, by phone or by email): your name, email address, phone number, and the details of your enquiry or message - usually including the address and postcode of the job.
• When we send you a document: the document and its details (type, number, total), and a record of when you opened it, downloaded it, and whether you accepted or declined it (with the date and time).
• Your contact details (name, phone, email and job address) are kept in our private customer contact list so we can reach you about your job. This list mirrors our job records; it is for our own use only and is never shared. We remove your details from it on request, and when we delete your job record.
• Technical information: the IP address and browser (user-agent) used when you submit an enquiry or view a document. We keep this to run the service securely and to evidence that a document was received and accepted.

Why we use it, and our lawful basis

We use your information to respond to your enquiry, to prepare and provide your quote, estimate or invoice, to manage your job, and to keep accurate business records. Our lawful basis is taking steps at your request before entering a contract and the performance of that contract, together with our legitimate interest in running the business, keeping the service secure and maintaining accurate records (and, for invoices, our legal and tax obligations).

Who we share it with

We do not sell your information. We use a small number of trusted suppliers to run this service, who act on our instructions only to provide it:

• Our hosting provider, which stores the portal data (servers in the Netherlands), and our email provider, which delivers our emails (Ireland) - both within the European Economic Area.
• Google Workspace, which we use for our business email and for storing job files.
• AI software that helps us read supplier documents and draft text when preparing a detailed quote. Where we use it, limited job details may be processed by a provider based in the United States. We only share what is needed for that task. If you would prefer we did not use AI assistance on your job, please tell us and we will handle it manually.

Where your information is held

The information behind this portal is held within the European Economic Area (transfers to the EEA are covered by the UK's adequacy regulations). Two providers may process data in the United States: Google, under its certification to the UK Extension of the EU-US Data Privacy Framework, and the AI software provider described above, under standard data-protection clauses approved for UK use. You can opt out of the AI assistance as set out above, and you can contact us for details of these safeguards.

How long we keep it

Enquiries and quotes that do not lead to work are deleted automatically within 2 years - or sooner, if you ask us to delete yours. Accepted quotes and invoices are kept for 7 years to meet our legal and tax record-keeping obligations.

Your rights

You can ask us for a copy of your information, to correct it, or to delete it, and you can object to or restrict how we use it. To do any of these, email andy@deltajoinery.com. If you're not happy with how we've handled your information, you can complain to the Information Commissioner's Office (ico.org.uk).

Cookies

This site sets one strictly-necessary cookie, used only to keep our staff login secure. We do not set advertising or tracking cookies and we do not use analytics.
